Primary Purpose of the Position

The Document Control Specialist is a technical, hands-on position responsible for SharePoint management and customization. They will manage and track company records and documents by adhering to the drawings and lifecycle procedure starting from original release to obsolescence including retention and archiving. Coordinate as point of contact with customer for submittals which includes but is not limited to tracking log, request for information, drawings, weld procedures specifications, and process qualifying record. They will manage the documentations throughout the organization.



Essential Functions / Duties

SharePoint

  • Design SharePoint lists (RFI Form & Log, Document Control Log, etc)
  • Create custom forms
  • Design list formats
  • Build and edit fields
  • Create permissions
  • Automate fields with calculated columns, etc.
  • Create power automate flows (notifications, approval, etc.)
  • Maintains a culture of continuous improvement by managing long and short-term projects using approved tools
  • Train users; create training material
  • Troubleshoot and advise users
  • Design/develop SharePoint site
  • Site navigation
  • Layout
  • File system

Document Control

  • Prepare Submittals for customers; Drawings, RFIs, WPS
  • Maintain submittal log (record responses)
  • Communicate regularly with customers as POC for document control
  • Communicate regularly with shop personnel regarding documentation revision/releases
  • Attend and participate project-specific meetings
  • Maintain drawings/documents on server
  • Create and maintain documentation logs
  • Design share point list
  • Audit drawing distribution at plants
  • Adhere to document control process and procedures
  • Adhere to contract drawings and specifications
  • Ability to work independently and as a member of a team
  • Able to work in a fast-paced environment and able to prioritize multiple concurrent projects

Teams

  • Develop training for Teams
  • Make informative posts
  • Design format/organization of departments
  • Integrate Teams with SharePoint
  • Troubleshoot and advise users

Website

  • Administer corporate website, and assist with continuous updates of site

Job Requirements

Knowledge, Skills, and Abilities

  • To perform this job successfully, an individual should have knowledge of SharePoint administration, SharePoint security, SharePoint site development, as well as Office 365 administration, and One Drive administration
  • Strong communication skills and ability to help end users with complicated issues
  • Excellent problem-solving skills and must think strategically
  • Ability to write communications and documentation grammatically correct for routine business correspondence
  • Familiar with Autodesk Vault Pro or related document control software
  • Familiar with FTP clients
  • Familiar with ISO and/or American Institute of Steel Construction (AISC)

Education requirements or equivalent experience:

  • Bachelor's degree in Computer Science, Engineering or related technical field or an equivalent combination of education and experience
  • Minimum of 2 (two) years' experience supporting a variety of technologies and functions
  • Solid organizations skills, including multitasking and time management
